Information We Collect
We collect information you provide directly, as well as information generated through your use of the axeo platform. This allows us to deliver, maintain, and improve our services for your organization.
- Account information: name, email address, organization name, and role when you create an account or are invited to an organization
- Asset records: asset names, descriptions, categories, serial numbers, images, and QR code data that you add to axeo
- Checkout and return data: records of asset checkouts, returns, condition notes, and associated timestamps
- Audit logs: actions performed within the platform including who performed them and when
- Usage data: pages visited, features used, and interaction patterns to help us improve the product experience
- Device and browser information: IP address, browser type, operating system, and device identifiers for security and compatibility purposes
- Communication data: messages you send to our support team or feedback you provide
How We Use Your Information
We use the information we collect for the following purposes:
- Providing and operating the axeo platform, including asset tracking, checkout management, and reporting features
- Authenticating users and maintaining account security across your organization
- Generating reports and analytics that help your team manage assets more effectively
- Sending transactional emails such as checkout confirmations, return reminders, and overdue alerts
- Improving our product through aggregated usage analytics and performance monitoring
- Responding to support requests and communicating important service updates
- Detecting, preventing, and addressing technical issues, fraud, or security incidents
Data Sharing and Disclosure
We do not sell your personal information. We share data only in limited circumstances:
- With members of your organization who have appropriate access permissions set by your organization administrator
- With trusted service providers who assist us in operating our platform (e.g., hosting, email delivery, error tracking), bound by data processing agreements
- When required by law, subpoena, or other legal process, or to protect the rights, property, or safety of axeo, our users, or others
- In connection with a merger, acquisition, or sale of assets, with notice provided to affected users
Data Retention
We retain your data for as long as your account is active or as needed to provide services to your organization. Audit logs are retained according to your subscription plan settings.
When an organization account is deleted, we will remove or anonymize associated data within 90 days, except where retention is required by law or for legitimate business purposes such as fraud prevention.
You may request early deletion of your personal data by contacting our privacy team.
Your Rights and Choices
Depending on your location, you may have certain rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete personal data
- Deletion: Request deletion of your personal data, subject to certain exceptions
- Portability: Request an export of your data in a structured, machine-readable format
- Objection: Object to processing of your personal data for certain purposes

axeo processes data primarily within the United States. If you are located outside the U.S., your information may be transferred to and processed in the U.S. or other countries where our service providers operate.
We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses approved by relevant authorities.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the "Last updated" date. For significant changes, we may also send an email notification to account administrators.
