Getting started with digital tool management sounds like a big project, but it does not have to be. With the right platform, you can go from zero to a fully operational checkout system in under 10 minutes. Here is how.
Step 1: Create Your Organization (1 minute)
Sign up for axeo and create your organization. You will need a name, your email, and a password. That is it. No credit card required for the free tier, and you can upgrade later as your team grows.
Step 2: Add Your Tools (3 minutes)
Navigate to the Tools page and start adding your inventory. For each tool, enter the name, category, and optionally a serial number and photo. You can add tools one at a time or use the bulk import feature if you have a spreadsheet.
Step 3: Generate QR Codes (2 minutes)
Select the tools you want to label, click "Generate QR Codes," and print them. axeo generates print-ready labels that work with standard label printers or regular paper and tape. Each QR code is unique to the tool and links directly to its profile.
Step 4: Invite Your Team (2 minutes)
Go to Settings and invite team members by email. You can assign roles: Admins can manage everything, Managers can oversee checkouts and reports, and Members can check tools in and out. Each person gets their own login and is tracked individually.
Step 5: Make Your First Checkout (1 minute)
Open axeo on your phone, tap "Scan," and point your camera at a QR code. The tool pops up instantly. Tap "Check Out," confirm, and you are done. The checkout is recorded with your name, the timestamp, and the tool details.
Step 6: Return a Tool (1 minute)
When the tool comes back, scan the same QR code and tap "Return." Note the condition — good, fair, or needs repair. The return is logged, the tool shows as available, and the checkout duration is calculated automatically.
What Comes Next
Once the basics are running, you can explore categories, custom reports, damage reporting workflows, and overdue notifications. But the core system — tools, QR codes, checkout, return — takes less than 10 minutes to set up and delivers value from day one.
